Terms of service

The general terms for using the RosterWise website and service.

1. About these terms

RosterWise is provided by RosterWise Ltd (“RosterWise”, “we” or “us”). These terms apply to anyone who uses the RosterWise website or service. Organisations use RosterWise under a separate agreement signed with us. These terms don’t replace that agreement: where they differ, the signed agreement applies.

2. Accounts and access

  • RosterWise accounts are created by our team for authorised customers. There is no public sign-up and no online checkout.
  • Your organisation tells us who should have access and with what role. Ask us to add, change or remove people.
  • Keep your password and authenticator to yourself. If you think someone else has used your account, contact us straight away so we can secure it.
  • To protect accounts, we may temporarily suspend access while we investigate suspected misuse or a security problem.

3. Your agreement with us

The services your organisation receives, and the fees, payment, duration, renewal and cancellation arrangements that apply, are set out in its signed agreement with us. This website doesn’t publish prices and doesn’t take payments. To arrange or change a plan, contact Sales.

For customers, responsibilities and liability, and the law and courts that govern the agreement, are also set out in the signed agreement.

4. Acceptable use

  • Only people with authority to share their organisation’s roster and trading information for this purpose should upload it.
  • Upload only the information the checks need. Identify people by your own staff reference and leave out names and contact details. RosterWise rejects files with email addresses, phone numbers, dates of birth or National Insurance numbers in the columns it uses.
  • Don’t try to access information that isn’t yours, or probe, overload or disrupt the service. Security researchers acting in good faith can report findings to hello@rosterwise.co.uk.

5. Workforce information

Your organisation decides what workforce information to upload and why, and is responsible for having the right to use it and for telling its workers. We process that information only on your organisation’s instructions, under the data protection terms in its agreement. Our privacy notice explains how we handle personal information.

6. Service scope

RosterWise provides decision support. It checks working patterns against stated reference points for adult workers in Great Britain and, where your plan includes it, lines up staffing with the trading data you provide. It is not a medical or fitness assessment, not legal advice and not a certification of compliance, and commercial scenarios are modelled, not achieved results. People remain responsible for rostering decisions. The full scope is set out in evidence and limitations.

7. Changes and contact

We may update these terms as the service changes. Changes don’t alter a signed agreement unless that agreement allows it. Questions about these terms: hello@rosterwise.co.uk.
